General Summary

The Recruiting Operations Specialist is responsible for supporting and empowering the Recruiting team to do their best work. General responsibilities include all things related to data, tools, processes, and coordination with the goal of providing the best candidate experience. They will be the point person for all systems management involved in the recruiting process including but not limited to: Workday, LinkedIn and internal recruiting metrics. A strong candidate for this role is organized, data-driven, and a clear and thoughtful communicator who never stops hunting for opportunities to improve efficiencies and the effectiveness of the recruiting team.

Essential Job Functions

  • Assist in overseeing the recruitment process to ensure optimal success in hiring and integrating new employees into the Company.
  • Evaluate current recruiting processes and implement data-driven and efficiency improvements.
  • Support all data and analytic needs of the Recruiting team. Provide recruiting team with recruiting analytics and insights - specifically around recruiting trends and process pain-points.
  • Evaluate existing suite of tools and integrations and identify areas for automation and improvement.
  • Develop and maintain recruiting tools including, but not limited to: Workday, LinkedIn, and Sharepoint. Responsible for managing and maintaining Workday ATS including but not limited to:
    • Onboarding new employees into Workday
    • Track and manage all seasonal hires
    • Create offer letters
    • Organize Company job descriptions
    • Post all open positions- both externally and internally through Workday
    • Update employee information in HRIS system as needed
  • Ensure consistent process documentation and iteration across the recruiting team.
  • Coordinate first day logistics for new employees. Work with cross functional partners to ensure seamless onboarding.
  • Assist new employees with their relocation.
  • Assist recruiting team in overseeing logistics and event coordinator for Internship Program.
  • In partnership with the recruiting team, when needed, conduct interviews, source candidates, manage interview logistics, lead campus tours.

  • Ability to sit for extended periods of time.
  • Ability to look at a computer screen for extended periods of time.
  • Ability to maintain a composed and professional demeanor within a flexible and busy work environment.
  • On an as-needed basis, ability to travel domestically utilizing various transportation methods.

Minimum Job Qualifications

  • College Degree in business administration, organizational development, human resources or related discipline or equivalent experience.
  • 3 + years experience in recruiting/HR.
  • 3+ years handling large data sets.
  • Strong Excel skills, experience using Power BI, Tableau, or other data analytics tools a plus. 
  • Prior experience using data to drive process improvements.
  • Strong knowledge of a wide variety of recruiting systems.
  • Prior experience researching new vendors and implementing new systems
  • Excellent organizational and communication skills (both written and verbal)
  • Ability to maintain confidentiality and professionalism.
  • Excellent customer service and communication skills.  The ability to write clearly and persuasively in addition to defining problems and articulating solutions within a group setting.
  • Comfortable with team-based work structure; ability to demonstrate flexibility on the job.
  • Demonstrates initiative, is conscientious and provides complete follow-through on all areas of responsibility.
  • Ability to work in a fast-paced work environment with minimal privacy and numerous interruptions.
